Creating a Simple Monthly Budget for Your Small Business

A one-page monthly budget you can actually maintain — five categories, one hour a month, and the two numbers that tell you how your business is really doing.

Most small business budgets fail for the same reason most diets do: they are too detailed to sustain. A budget you update monthly in under an hour will teach you more than an elaborate model you abandon in March.

Use five categories, not fifty

  • Money in — what clients actually paid you this month
  • Cost of delivering the work — materials, contractors, direct software
  • Fixed costs — address and space, phone, insurance, subscriptions
  • Growth costs — marketing, education, tools you are testing
  • Set aside — taxes, savings, and a small buffer

The two numbers that matter most

First: money in minus everything out. Second: how many months your business could operate if income stopped today. The first tells you whether this month worked. The second tells you how much risk you can responsibly take.

Build the habit, not the spreadsheet

  1. 1Pick the same day each month — the first Monday works well
  2. 2Download last month's bank and card activity
  3. 3Sort every line into one of the five categories
  4. 4Write the two key numbers at the top of the page
  5. 5Note one decision for the month ahead

Plan for the irregular things

Annual renewals, insurance, equipment replacement, and taxes are the expenses that derail otherwise healthy months. Divide each by twelve and treat it as a monthly set-aside so it never arrives as a surprise.
